Tags and Status
Segment and prioritize your contacts based on how they actually engage. Tags give you flexible categorization, while status fields track the health of each contact relationship.
Tags
Tags are free-form labels you attach to contacts for easy organization and filtering.
Adding tags
- During import — Apply tags to all contacts in a batch import
- On a contact profile — Add or remove tags from individual contacts
- Bulk operations — Select multiple contacts and apply tags at once
Tag examples
| Tag | Use case |
|---|---|
hot-lead | Contacts showing strong buying intent |
event-saastr-2026 | Leads collected at a specific event |
decision-maker | C-level or VP-level contacts |
follow-up-needed | Contacts requiring manual follow-up |
competitor | Contacts to exclude from certain campaigns |
Filtering by tags
Use tags in the contacts list to quickly narrow down your view. Combine tag filters with search and status filters for precise targeting.
Email marketing status
Every contact has a marketing status that determines whether they receive outreach emails:
| Status | Can receive marketing? | Description |
|---|---|---|
| Subscribed | Yes | Opted in and eligible for campaigns |
| Unsubscribed | No | Opted out via unsubscribe link |
| Bounced | No | Email address is invalid or unreachable |
| Complained | No | Reported your email as spam |
| Never subscribed | No | Added to workspace but never opted in |
Status is enforced automatically. WorkOnward Reach never sends campaign emails to contacts who are unsubscribed, bounced, or complained — even if they’re on an active campaign list.
How status changes
- Subscribed — Set when a contact opts in or is imported with marketing consent
- Unsubscribed — Set when a contact clicks the unsubscribe link in any email
- Bounced — Set automatically when an email to this address bounces
- Complained — Set when a recipient marks your email as spam
WorkOnward Reach maintains an audit trail of every status change, including the reason and timestamp.
Email transactional status
Separate from marketing status, this controls system emails (password resets, account notifications):
- All contacts can receive transactional emails except those with
bouncedstatus - This prevents sending to known-bad addresses while allowing system communications to unsubscribed users
Tips
- Use tags for temporary groupings — Tags are great for “in-progress” categorization that changes often
- Don’t fight the status system — If someone unsubscribes, respect it. Focus your energy on engaged contacts.
- Review bounced contacts periodically — Some bounces are temporary. Check if contacts have updated their email.
